Agency client onboarding checklist for Meta Ads

Before you spend a rupee of a client's budget, confirm five things: access to the right assets, working tracking, agreed goals and a target cost per result, a reporting rhythm, and who approves what. Do this in the first week and most later problems never start.
Most client problems in month three were set up in week one: nobody confirmed who owned the ad account, tracking was half broken, or the client never said what a good result costs. A repeatable onboarding checklist removes those surprises, makes every new client feel organised, and gives a new team member something to follow.
1. Access and ownership
- The client owns the Business Manager, ad account, Page and pixel. You are added as a partner or with the roles you need, so access can be removed cleanly.
- Confirm who can approve spend and where the payment method sits. The client should pay Meta directly.
- Check the domain is verified and the Page is connected to the ad account.
- Write down every person who has access and what role they hold.
2. Tracking you can trust
- Confirm the pixel and any server-side events fire on the pages and actions that matter.
- Agree the single conversion event each campaign objective will use, such as lead, purchase or app install.
- Place a test conversion and check it appears in the account.
- Note any known tracking quirks, so the next person does not rediscover them.
3. Goals, targets and budget
- Ask what a good result is worth to the client, then agree a target cost per result, or a target return if they sell online.
- Agree the monthly budget and how it may be split across campaigns.
- Record the date each target was agreed. Targets change, and the date explains why.
- Agree what happens if results miss the target for two weeks in a row.
4. Creative and brand
- Collect logos, brand guidelines, existing top-performing creative and any restrictions on claims or wording.
- Agree who approves creative and how long approval should take.
- Ask which products, offers or dates matter most this quarter.
5. Reporting and communication
- Choose the report cadence, the recipients and the day it lands, and the one person who reads it.
- Choose one channel for day-to-day questions, and a response time you can keep.
- Book the first monthly review now, before the first month ends.
6. The first 30 days
In week one, finish access, tracking and targets before launching. In weeks two and three, launch conservatively, review daily, and write down what you change and why. In week four, send the first report with a plain summary and a plan for next month.

How long should onboarding take?
Plan the first week for access, tracking and targets, and launch only after those are confirmed. Rushing the launch usually costs more time later.

What if the client has no tracking in place?
Fix tracking before spending meaningful budget. Without it you cannot tell what works, and every report becomes an argument.
